Working-time record · Spanish Workers' Statute, art. 34.9

Your staff time records, without paper or spreadsheets

Your employees clock in from their phone's browser and the system sets the time, not them. Each month's record comes out as a PDF in one click, and their contracts and payslips stay filed in the same place.

In Spain, keeping a working-time record has been mandatory since 2019 and it must be kept for four years. Any month's record is one click away.

Each employee opens their portal in the phone's browser and taps "Clock in". Nothing to install, and they can't change the time.

In 3 steps

From the sign-in sheet to the phone in one afternoon

1

Add your team

Name, email, ID and start date for each person. Each one gets an email to set up their access.

2

They clock in from their phone

Clock in and out from the browser, nothing to install. The time is the system's and it is recorded instantly.

3

Export the month

Each employee's record as a PDF, or the whole team's as a CSV, whenever your accountant or an inspector asks.

What the law asks for, and what saves you time

Employee portal

Each person clocks in, checks their hours and downloads their record from their phone, with their own email and password.

The system sets the time

Nobody types what time they arrived: the entry is saved with the time of the tap.

Corrections with a reason

If an entry needs fixing, the correction is added with its reason. The original is never deleted.

Monthly record in PDF and CSV

With company and employee details, each day's entries, the monthly total and an annex of corrections.

Who is in right now

At a glance, who has clocked in and how many hours each person has worked this week and this month.

Contracts and payslips filed

You upload them as PDFs and each employee sees theirs in their portal. Your accountant still prepares the payslips.

Proof of receipt

You can ask the employee to confirm they received a document, and the time they did so is saved.

Alerts in the dashboard

It flags entries left open for more than 12 hours, invitations not yet accepted and payslips not yet confirmed.

Paper or Karma

What changes compared with the sign-in sheet

A paper sheet or a spreadsheet works on the days it's filled in properly. The trouble starts when someone forgets to sign, a time is changed by hand, or you're asked for the record from two years ago.

Pricing

A fixed price for your whole team, not per employee

Many time-tracking apps charge per employee (from around €2.40 a month each): with 10 people that is €24 a month. Here you pay €8 to €10 a month for the whole team, depending on how you pay. No lock-in, tax not included (IPSI 0.5%).

Frequently asked questions

What everyone asks

In Spain, if you have employees, yes. Since May 2019, article 34.9 of the Workers' Statute requires recording each employee's start and finish time every day, and keeping that record for four years for the employees, their representatives and the Labour Inspectorate.

No. They receive an email to set up their access and clock in from their phone's browser, in their employee portal. They can also check their hours and download their record there.

No. Here you file contracts and payslips as PDFs and each employee has theirs in their portal, but preparing them, social security and employment advice stay with your accountant.

You correct it from the dashboard: you add the missing entry or fix the time, and you have to give a reason. The original entry doesn't disappear; the correction is noted separately and shows up in the monthly record.

No. It records start and finish times, which is what the law requires, and files each employee's documents. It doesn't manage holidays, shifts or breaks, and it doesn't store the location of whoever clocks in.

No. The price is the same whether you have two people or twenty.

No. You choose how often you pay: the period you choose is paid in full and, when it ends, you carry on or stop. You can always export the record of previous months.
